Meeting Minutes:
March 9, 2010
I. Call to Order - The meeting was called to order at 4:30 PM, by President Bev Koerner with the following people present: Trini Acevedo, Luke & Pamela Bartlett, Paula Boundy, Sasha Gebo, Principal Karen Hazelrigg, Amber Henrichs, Debbie Johnson, Diane Schilling, Gina Weber and Kathy Wells.
II. Secretary/Treasurers Report – Minutes from the last meeting were presented, Sasha moved to approve the minutes seconded by Amber and the motion carried.
Paula presented the activity fund printout showing a balance of $2,587.12. This is including the donation from the Methodist Church and deposits from the basket raffle. It was also noted that there are outstanding receipts that need paid from this balance. Karen motioned to approve the treasurer’s report, seconded by Trini and the motion carried.
III. Principal’s Report – Principal Hazelrigg reported that the school is doing its own fundraiser separate from the PTO called “Pennies for Popcorn”. The students have been bringing in donations trying to raise enough for the school to buy its own popcorn popper. The class that raises the most will get to have a class party using the new machine. Teachers have also offered to donate what’s leftover of their “jean” money to this fundraiser if need be. They have been shopping and comparing different machines.
She also reported that the United Methodist Church of Chatsworth donated $1,420 that will pay for our last assembly of the year in April about Nutrition and also some various items for the school and classrooms. They have already begun shopping for needed items.
Karen then reported that our school has once again earned the Academic Excellence award and is Spotlight School of the State of Illinois. Our School is 1 of only 5 schools in the whole State to earn both which puts us in a very elite group.
She also reported that ISAT’s are done and she will be having an Ice Cream Sundae Party with the students on Friday as well as some much deserved play time they all enjoy.
IV. Bingo – Bev reported that Bingo night was a success. There was a great turnout and we did not hear any complaints about any part of the activity. We did have some leftovers that the students got to enjoy the next day at school.
V. Basket Raffle Report: Diane Kerber was unable to attend the meeting but she did send a report of our basket raffle results. We made $253 from the Valentine’s Day Basket, $440 Brochure Sales, $300 Bingo Night and $533 from selling at other locations for a total of $1,526. We then donated a total of $80 to organizations that allowed us to sell our raffle tickets during their fundraising events. It was noted by Sasha that the brochures created by Diane and Amy Dunn worked well for taking to the workplace and selling tickets so this was a great idea and we will keep this in mind for next year’s event. All in all this fundraiser was great success again this year.
The Kids Easter Basket raffle will be held on the March 26th. The Junior Women’s Club has given the school 3 baskets already so we will need 6 more for the other classrooms and the PTO will donate $15/each to the Early Childhood and Pre-K classes instead of a basket. Anyone making or donating items or money for the baskets are asked to do so by March 15th.
VI. Mother’s Day Make-It Take-It Night – will be held on April 27th from 6:30 – 7:30. Gina presented 3 ideas for crafts she found on the Oriental Trading website. Everyone present agreed on the “Mom” pin which is made of beads and a safety-pin. Gina will go ahead and order the craft and try to find a Mother’s Day card on the internet that can be printed off and the kids can color to go along with the gift. Anyone that has some spare tissue paper, that can be used to wrap these gifts, is asked to drop it off at the school office before the event. Bev will take care of the snacks and drinks for the event.
VII. Teacher Appreciation Week – is the week of May 3 – 7. After checking calendars it was decided the luncheon will be held on Thursday the 6th. Bev asked Trini if she would be able to contact Terri Perkins and help organize the event again this year.
VIII. Other Fundraising Ideas – Gina asked if someone could look into and get something going for the Box Tops, Campbell’s Soup Labels or Swiss Valley Milk Tops fundraisers. It was decided that we will focus on only one of these, the Box Tops, and Amber volunteered to help and contact Becky McGreal on getting this going. It was also decided that we will have each class collect the Box Tops from April 12th – 30th with the winning class announced at the May 7th assembly. The winning class will then get to choose their prize, whether it be a “food” party or extra recess period.
Sasha suggested doing a 50/50 raffle. This might be a possibility for the night of the music program of the 2010-11 school year.
Luke Bartlett presented the idea of a “Treasure Chest” fundraiser. He has the treasure chest that has about 200 keys but only 20 of them open the master lock. If your key opens the lock you would then get to choose a prize. We will discuss this further at future meetings.
IX. Other Business – Gina asked some of the “new” parents at the meeting how they heard about or decided to attend this meeting. One response was from the flyer sent home with the students, another was from the survey and power point presentation at Bingo Night and the last was response was the meeting time and day worked for their own personal schedule this month.
X. Monical’s Family Pleaser Drawing – Bev drew Pamela Bartlett’s name from the hat as the winner of the certificate. It was decided that we would do this again for our next meeting but it will be to Casey’s for $20 instead.
XI. Adjournment – The meeting was adjourned at 5:35 PM.
